Reference Letter Templates
Reference letters confirm facts about someone’s history, character, or performance for a third party making a decision. Templates in this collection cover the common contexts including rental references for landlords screening tenants, employment references for hiring managers verifying past work, academic references for admissions committees, and professional references for licensing bodies or board appointments. Each one keeps the focus on verifiable claims (dates, roles, observed behaviour) rather than vague praise that the reader cannot evaluate. Pick the template that matches the request and add the specific dates, roles, and observations the recipient needs to make their decision.
When you write a reference letter, the recipient treats your words as verified facts they can act on, which is why the strongest reference letters speak only to what you actually observed or know firsthand. Vague praise like "great team player" or "always willing to help" reads as filler that the recipient discounts, while specific examples like "managed our Q3 product launch on schedule despite two staff departures mid-project" carry weight because they are verifiable and concrete. Stick to what you have direct evidence for, since fabricated or embellished references can expose the writer to defamation claims if the candidate later fails in a way that traces back to misrepresented qualifications.
When you should decline to write a reference, do so directly rather than producing a lukewarm one. A reference letter that damns with faint praise does more damage than no letter at all, and the candidate is better served knowing to ask someone else. Honest reasons to decline include not knowing the person well enough to speak specifically, not having worked with them recently enough to comment on current performance, or having concerns about the application they are submitting. Most candidates appreciate the honesty far more than they appreciate a generic letter that signals lack of enthusiasm to whoever reads it.
