Termination Letter Templates

A termination letter ends a relationship in writing, with a clear effective date and the reason for termination where required. Templates in this collection cover the most common contexts including employee termination letters (for cause and without cause), contractor termination of service agreements, tenant lease termination notices, and service provider terminations for vendors or subscriptions. Each one includes the standard elements: effective date, reason if applicable, final obligations on both sides, and instructions for return of property, final payment, or transition. Pick the template that matches your situation and add the specific dates, account numbers, and final terms before sending.

A termination letter has to satisfy both the immediate need to formally end a relationship and the longer-term need to defend the decision if challenged. For employee terminations specifically, the letter should reference any prior documentation supporting the decision (performance improvement plans, disciplinary notices, policy violations) rather than introducing new reasons not previously communicated to the employee. Reasons added at the moment of termination that were not part of earlier conversations look like rationalisation in any subsequent legal proceeding, while reasons supported by a documented history of warnings look like the natural conclusion of an established process.

Delivery and timing of termination letters matter as much as content. For employees, deliver the letter in a private meeting with a witness from HR or management, then provide a copy at the conclusion of the meeting rather than letting the employee read along during the conversation. For lease terminations, follow the delivery method required by the lease and state law, which often means certified mail with return receipt rather than email or hand delivery. For vendor and service terminations, send by the method required by the contract, copy any related departments, and confirm receipt to avoid disputes about whether notice was properly given. Retain copies of delivery confirmations for the statute of limitations period applicable to any potential claims arising from the termination.
