Leave Request Letters / Applications for Marriage

A leave request letter is a document an employee or student writes to their employer or principal to ask for days off to go for a vacation or attend important family events (wedding, engagement, anniversary, etc.). Every employee is entitled to leave each year besides days off. An employee can plan to use this time to attend important family events. In the leave request letter, one must clearly state the reason to attend, the time of the event, and how long they’ll be away.

Writing a leave application for marriage following a respectful tone and perfect letter format increases the chances that your employer or principal will grant your request.

Requesting a Leave for Marriage from Your Employer

  • Contact Your Employer as Soon as Possible. As soon as you’ve made your wedding plans and are sure of the time you’ll need for both the wedding ceremony and honeymoon, then contact your employer immediately. You can verbally inform your employer, but that’s not enough in a professional career. Your employer can forget your verbal notice; in this case, a signed or approved written request is more authentic than a verbal notification.

When drafting a leave request letter for own marriage or attending a marriage function, it’s recommended to follow an official application format and double-check all the particulars. Make a copy for yourself to keep at home and make a copy for the Human Resources department. Also, remember to glance at your employee handbook if your company has one, as they may have protocols in place for such a leave.
  • Create a Plan of Action with Your Colleagues. By taking the initiative of contacting colleagues and arranging how your responsibilities will be taken care of in your absence, you show your employer that you are a person of integrity and take the initiative when need be. Also, don’t forget to mention in the letter that you’ve given each colleague your contact information in case they need to get in touch with you. The same goes if you’ve contacted the HR department and requested a temp agency or contractor to handle your duties while away.
  • Formal and Respectful Tone. Since your employer is not forced by federal or state law to give you a leave for marriage or to attend a wedding ceremony, you have to ensure your letter’s tone is both formal and very respectful. Let your employer know that you are aware that the time you’re requesting off can increase your colleague’s workload in the department. State that you will try to stay as reachable as possible during your off days, and you will do your best to make up for any inconvenience that your leave will cause.

Requesting a Leave for Marriage from School or University

Requesting leave for marriage from a school or university is a bit easier than requesting one from your employer. Educational institutions usually have leave application forms to fill out for such leave requests. These forms can be obtained in your school’s admissions office or from its website. If you are an international student, it may be prudent for you to take the form to a counselor’s office to ensure that your time requested does not conflict with your VISA requirements. While a leave of absence letter from your university is not required, it can be helpful. The purpose of the letter is to offer support for your request.

Tips for Writing a Leave Request Letter for Marriage

    • Remember to make your request as soon as you know the exact dates you’ll be needing off. The timely request will help with arrangements and appeals.
    • Include both the start and return dates in your request. Also, mention if you might need one or two extra days depending on the situation.
    • Be honest and transparent in your request; not being clear in your request can go wrongly for your professional career.
    • Remember to have both face to face talk to your employer, as well as write a letter.
    • Keep your letter as short and concise as possible.
    • Tell your employer that you’ve made (or will make) arrangements regarding who will handle your workload in your absence.
    • Keep a copy of the letter for yourself, and give a copy to the HR department.
    • Tabulate all your accrued time that is owed you, and mention it in the letter.
    • Show your gratitude and appreciation regarding the consideration of your request.
    • Keep the tone professional yet very respectful as you realize you may be causing an inconvenience.
    • Before you make your request, visit your HR department to see exactly how many days you are allowed.
    • The request for leave should always follow a formal letter format and include your handwritten signature.

Things to Avoid When Writing a Leave Request Letter for Marriage

    • Avoid not being honest with your employer by giving a different reason for your requested time off. A lie can slip through the cracks and can go against your professional career.
    • Don’t write a long and lumbering account for requesting your leave. Keep it straight and to the point. Lengthy letters filled with unnecessary information often comes up as unprofessional and needy.
    • Don’t use a bossy or demanding tone; you are requesting a voluntary, personal leave. A bossy or informal tone most likely will reduce the chances of your request being granted.
    • Don’t spring this request without first notifying your colleagues and employer of your intention.

    FAQs

    Is marriage leave an entitlement?

This depends on the country you reside in. For instance, in Spain employees get 15 days, while in France it’s four. However, there is no such entitlement existing in the USA. As such, it’s the duty of the employee to keep track of the days owed them, such as sick days, personal and vacation days, and put them towards their wedding leave request.

How do I request a longer than normal leave of absence period for my wedding?

When your requested leave of absence is longer than expected, it becomes an extended leave of absence. Each business will have its own requirements, so check with your employee handbook for reference. In general, and extended leave uses your accrued days owed you. In other words, if you accrued 30 days from either vacation time, personal or sick leave, or a combination of the three, you can use this as leverage for your position. Remember, requesting leave for marriage is viewed as personal time off; the business (employer) is not required by law to give you such a leave.
