Apology Letter to Principal: Format & Sample Letters

Apology letter to principal is written by a student/ parent/teacher to the principal to express regret towards a past mistake or occurrence. It is putting down in words how you are feeling about the mistake and a way of trying to make a positive change from a negative action.

Putting it down on paper in a way that will be acceptable can sometimes seem difficult. You want the recipient to understand and forgive your fault without adding more harm on it. Using a sample letter will make writing the letter easy and clearer.

How to Write an Apology Letter to the Principal

List down your mistake

Writing down how you feel or what you think makes the thought or the emotion more reasonable. It is important to first of all list down what you did wrong, you will be able to understand the depth of the mistake and figure out the best way to express your regret towards it.

Make a draft letter

With the realization on the depth of your mistake, you are now able to know the best way to write down your regret. It is best to first draft a letter before making a final one. Make sure that you include all the things you want to say in your apology, which is saying you are sorry, explaining the cause of the mistake and explaining how you will avoid the mistake in future. This draft will help you correct on areas you think do not sound right. You can always have a friend or family member read your draft and point out the parts that don’t sound right.

Write the final copy

The final copy should now be written in a formal format. This means that you did all the corrections on the draft paper and you are now sure, that what you are writing is the best way you want to express your regret. When writing the final copy, be keen on checking spelling mistakes, punctuation mistakes and grammar. The final copy should also include your signature at the end.

How to Send Your Letter

Before you send your letter of apology to the principal, it is first of all important to check out on the policies of the institution about sending apology letter. If there are no any policies, you can choose to either hand write or write an email. Sending an email is one of the easiest forms of passing the apology. It is quick and convenient.

However, the best form of sending a letter of apology is handwriting it and delivering it in person. Here are a few points, which will help you in delivering your letter.

Seal the letter into an envelope

Get a good size envelope and seal your letter. On the envelope write the name of the recipient who is of course the principal. You can also write your name on the envelope, but this is optional.

Deliver the letter in person

It may seem embarrassing to deliver an apology letter personally because you are on the wrong, but this is the best way to express your sincerity of how sorry you are. Always be confident when doing this and deliver it with a smile. If the recipient is not available by the time you are delivering the letter, the best way will be to wait for the time he will be in and give it in person.

Do not demand a response

The principal may receive the letter and not give any response about it at that moment. Do not stand there to demand a response. Wait at ease for response. In case there will never be a response, do not stress about it because you did your part and apologized, continue doing your part of making sure that the mistake will not happen again but do not live in fear. In most cases, there will always be a response, it may not be immediately but there will eventually be one.

Things to Keep in Mind When Apologizing to the Principal

Acknowledge your mistake

Do not give excuses or place the blame on another person. Admit that you are wrong by stating the mistake directly.

For example, “I am sorry I missed class”

Own up the mistake

Use the “I” statement to express that you are responsible for the mistake for example “I understand the punishment that comes with this kind of mistake”

State the measures you have put in place to correct the mistake.

This is applicable in some instances and not in all.

For example, if you missed a class, you can state that you will copy the notes and revise them to make sure you catch up with the rest of the class.

Promise to be better in future

State that you have learnt from the mistake and you will make sure the mistake does not happen again in future.

For example, “I promise to communicate in time next time” make sure that you are promising what you are able to keep. If it was unavoidable mistake, do not make any promises, just express your regret.
