Dear Mr. [ ],

On behalf of [ ] hotel, I would like to pass on my most sincere apologies for a misunderstanding concerning the room that I put you up to on our Motel. it is with my deepest regrets to inform you that unfortunately the room was already booked and paid for by someone else, and this information was not on my reach at the time when I was putting you up for the specific room.

I therefore sorely as the Manager take up the full responsibility for the inconvenience we caused you and your Family, I admit it was not so pleasant of us to make such a mistake and I would like to ensure you that a good compensation would be put in place for the troubles.

It might not be much but as an extension of my apologies I would like to offer you any room of your choice on any of the weekends of the coming football season and on top of that have twelve free drink coupons and four dinner coupons service to you, if you allow us a second chance to accommodate you.

I am grateful that you chose our Hotel for your Family’s accommodation and I ask for forgiveness for the poor service offered. It’s my hope that I shall see you again during the next season!

Another Example of an apology letter

I realized we were not able to meet your request to host you and your family, the hotel manager put you up in the motel and paid for that. I understand your frustration by your requests not having been adequately handled.

We do our best to make sure every customer is best served, as of the next season we are offering any weekend of your choice and giving you 12 free drink coupons and an addition of 4 dinner coupons. Please feel free to contact us any time you need our services, we will appreciate.
