    What Is an Agent Appointment Letter?

    An agent appointment letter is a formal business letter prepared by your company and sent to a person who will join your organization either as an employee or contractor to fulfill a specific job position within your company.

    An agent appointment letter is an official form that is used to form a partnership with the agent who is accepting to work for your company either as a full-time employee or as a full or part-time contractor.

    The agent appointment letter must include details about the job, remuneration, benefits, and expected responsibilities and deliverables. The agent can begin work for your company as soon as the letter is signed by both parties or on a date specified in the letter.

    • Header – includes the agent’s name, complete address, and the date the letter is prepared

    • Location – Include the location of where they will be working. Include the full address of the location of the office they should report to and the person or persons they should expect to meet. If this is a contract position, clarify whether the agent will report to a company office or work off-site.
    • Role – describe the role of the agent, the status of the position, and the expertise they need to bring to the position, along with supporting documentation, such as transcripts from relevant schools.
    • Responsibilities – state the responsibilities and the role they are expected to fill on the job to help manage the agent’s expectations. For example, assist clients in sales and purchasing processes or rental and leasing processes.
    • Reporting – let the agent know who they will be reporting to and what the expectations are. They may need to send in a weekly status report, run all major decisions past the managers they report to, attend daily or weekly briefings, etc.
    • Compensation – covers the yearly salary and benefits, or hourly rate or fixed commission remuneration the agent will be paid based on the type of arrangement between the agent and the company. Employee annual salary increases, if known, should also be mentioned.
    • Schedule – indicate the number of hours per week and/or days per month the agent is expected to follow. Indicate how overtime is handled, and if the contract hours are exceeded, can the agent expect to issue an invoice to cover these extra hours?
    • Termination – anyone can be terminated at any time; however, most companies have guidelines they follow leading to the termination of an employee or ending a contract. Indicate your company’s termination process and policy.
    • Terms & Conditions – cover benefits, vacation policy, ethics, and how vacation days are prorated during the first year. Benefits for employees may include retirement, medical, travel, bonuses, and pension benefits. Contractors typically are not eligible for benefits.
    • Signature – thank the agent for considering the agent appointment letter and say that you look forward to hearing from them. Close by adding your signature, followed by your printed name, title, company name, and full address.
